AI Construction Project Management in Spain

Schedule, budget, risks, documents, photo progress and client reporting — one weekly and monthly loop on top of your tools. AI prepares summaries, checks and drafts; decisions and signatures stay with you and your dirección facultativa.

Without a single loop, a project loses money in four places

~10%

construction productivity growth over 2000–2022

Versus ~50% for the wider economy: project control is still manual — the schedule in Excel, actual costs in someone's head, site issues on WhatsApp.

spent finding and processing data

Summaries, photo sorting, invoice-vs-estimate checks, the client report — the manager works the information instead of the site.

[estimate] — measured on your project
2–3%

of margin leaks unlogged [estimate]

A chapter-level deviation surfaces at month-end certification, or at project end — when it is too late to fix.

And when the client asks «why is it like this?» — there is no decision trail: who approved, when, on what basis. A dispute file takes weeks to reconstruct.

We close project management — end to end

02 · The process we close
estimate → cost baseline scope of works → schedule weekly cycle: photos → summary monthly cycle: invoices → certification client report → decisions
CLASS

Class B · management (umbrella). The output is decisions, reports and plans; the lever — decision quality and speed, lower risk. Modules of other classes run inside the loop: estimates and invoices (C — document flow), photos and code checks (B — errors and disputes), the bot and proposals (A — revenue at the funnel entry).

Today — by hand

The weekly summary, invoice-vs-estimate check, client report draft and decision trail are compiled by hand — on weekends. Budget and schedule deviations surface after the fact.

With the system

Summaries, checks, certification data and the report are prepared by the AI loop; you confirm statuses and decide — that fits in a site meeting. Slippage and overruns visible weeks ahead.

Input → AI loop → output. And where the human is

03 · How it works

The loop sits on top of what you already use — Presto/CYPE/Excel, WhatsApp/Telegram, email. We replace nothing: we take your existing data flows and turn them into a managed cycle.

Input

What you already have

  • The project estimate — BC3 or Excel: becomes the chapter-level cost baseline
  • The scope of works and contract dates — become the schedule
  • The foreman's photos in a messenger — the way he already shoots them
  • Supplier invoices in the inbox, messages and site meetings
AI

What the loop does

  • Builds the schedule: phases, milestones, dependencies, critical path — and updates it with actual progress
  • Sorts photos by phase and checks task statuses against the critical path
  • Turns invoices into actual costs and computes chapter-level deviations — amounts are cross-checked by code
  • Prepares the weekly summary, the relación valorada data and the client report draft
Output

What you get

  • Monday: a «done / in progress / at risk» summary with specifics — which task delays which milestones
  • For certification: budget control, relación valorada data, a PDF report in the client's language
  • Three jargon-free numbers: performed €X · spent €Y · plan says €Z (that's EVM — the EIA-748/ISO 21508 standard)
  • A risk & decision log — a dated project trail for the warranty period
Human

What the human does

  • The foreman confirms doubtful task statuses
  • You approve summaries and reports before sending — «on approval» level
  • Certifications are signed by the director de ejecución (LOE art. 13)
  • Decisions on risks, changes and prices are yours
RULE 01

Amounts and measurements are cross-checked by code, not by the model «by eye»: AI numeric errors in tables are documented, so the arithmetic belongs to the script.

RULE 02

Schedule and deviation forecasts support a decision, they don't guarantee a deadline: contract milestones and actions are your call.

RULE 03

Task statuses are confirmed by the foreman; anything doubtful is flagged «review», no silent substitutions.

RULE 04

Nothing reaches the client without a person's approval.

The loop across project stages

#15

The same loop runs the project from start to handover. Each stage has its tools and its boundary: what AI prepares and what stays with the person.

00

Pre-contract

Loop tools: Lead bot · estimate generator · proposal generator — a won contract enters the loop with its estimate ready

Where the human is: Price and offer — the owner's decision

01

Project start — first week

Loop tools: Estimate → chapter-level baseline · schedule: phases, milestones, critical path · channels and alert thresholds connected

Where the human is: Validating the works sequence and contract milestones

02

Weekly cycle

Loop tools: Photos by phase · statuses → «done / in progress / at risk» summary · critical-path alerts

Where the human is: The foreman confirms statuses; decisions at the site meeting

03

Monthly cycle

Loop tools: Invoices → actual costs · chapter-level deviations · relación valorada data · client report PDF

Where the human is: Disputed progress percentages; the DEO signs the certification (LOE art. 13)

04

Permanent layer

Loop tools: Risk & decision log (date, author, rationale) · CTE/LOE checks · meeting minutes

Where the human is: Risk decisions; on codes, the técnico has the final word

05

Handover

Loop tools: Punch list from accumulated issues · project file: timeline, documents, photos by phase

Where the human is: Acceptance — dirección facultativa; claims are run by a lawyer

The loop's modules — catalog services

The loop is assembled from litcore services already in production: each closes its own segment and plugs into the shared cycle.

What's included — and what's not

04 · What is included
Included
  • Project schedule: phases, milestones, dependencies, critical path; updated with actual progress
  • Budget control: baseline from your estimate, actuals from invoices, chapter-level deviations, certification data
  • Weekly «done / in progress / at risk» summary + threshold alerts
  • Monthly client report (PDF, in the client's language: ES/RU/EN)
  • Risk & decision log — a dated trail with rationales
  • Adoption pack: how-to protocol, recorded walkthrough, short consultation
  • Human control on every output: summaries and reports are approved before sending
Not included
  • Dirección facultativa / DEO / safety coordinator functions — signatures, official records and the site order book (LOE arts. 12–13) stay with licensed professionals
  • Legal or accounting advice; claims are run by a lawyer — we prepare the file
  • BIM modelling or replacing your estimating software — we work on top
  • Schedule or compliance guarantees: forecasts and checks support decisions, they are not an insurance policy
  • Site visits — we work from photos and documents; visits separately, by agreement
Integrations & data
Excel — nativePresto / CYPE — on top · BC3 import «to confirm»WhatsApp / Telegram — foreman's channelsEmail — supplier invoices

BC3 import for your software's specific version is confirmed at diagnosis — until then it is flagged «to confirm».

Five phases — a pilot on a live project from 10 days

05 · Implementation
01

Diagnosis

3–7 days · We dissect one live project: estimate, schedule, channels, certification cycle. We measure the baseline: hours on summaries and the lag before deviations surface.

02

Prioritization

1–3 days · The starting loop for your pain — usually schedule + summary + budget control. We fix the metric and the alert thresholds.

03

Pilot

from 10 days · The loop on one project: baseline, schedule, the foreman's channels, the first weekly cycle. A full monthly cycle shows in 4–5 weeks.

04

Measure & adopt

overlapping · Measurement on 4 axes: usage, time, errors, convenience. Guide + recorded walkthrough — your team works without us.

05

Scale

retainer · The loop rolls out to your other projects; modules join (photos, invoices, codes); thresholds tuned to your practice.

SLA: Summary — every Monday by 10:00 · certification pack — 2 business days before the date · alert — same day · answers ≤ 1 business day · If the pilot doesn't fit the window, the scope is too wide: we cut the scope, not the quality.

The economics, calculated conservatively

06 · Economic effect

ROI canvas for a typical project: a €250,000 renovation/build, 8 months, team — owner + site manager. Every assumption is flagged and recalculated with your data at diagnosis; no vendor numbers here.

Price — from €2,400 + €490/mo

07 · Price

Model: setup (one-off loop installation) + retainer per active project. Market anchors: unaccompanied software costs tens of euros a month, but nobody runs the project; a human project manager — 3–5% of budget [market estimate] or from €4,000/mo in the premium segment; AI monitoring — enterprise contracts from ~$10,000 for large projects. The litcore loop on a €250k, 8-month project ≈ 2–2.5% of budget — and it doesn't replace your manager: it reinforces them.

Risks and control

08 · Risks & control
Data

Only what the process needs enters the loop: estimate, schedule, photos, invoices. We sign a DPA before receiving real data; EU/US transfers are disclosed (EU-US DPF + SCC); some functions are not covered by Zero-Data-Retention — we flag it and configure safely.

Human control

«On approval» level: summaries, reports and certification data are AI-prepared — a person approves before sending. Amounts are cross-checked by code. Autonomy increases only after quality is confirmed.

AI Act, art. 50

From 02.08.2026 AI use is disclosed; reports and summaries carry the note of AI preparation with human review. Spain's AI bill (May 2026) enshrines human supervision — the loop is built on it.

Professional boundary

This service does not make litcore a building agent under the LOE: certifications are signed by the DEO, the site order book and acceptance belong to the dirección facultativa, safety to the coordinator (RD 1627/1997). The 1/3/10-year warranty liability (LOE art. 17) stays with the building agents: we give them better data, earlier — not a signature in their place.
